Terms of booking

Please read these before you book.

The contract

These terms are the hiring contract between you (the hirer) and the Owner of Stay by the Wye, for the cottage you book. They bind you and everyone in your party. Please make sure they have read them. If relevant information is held back, or these terms are not kept, the booking can be ended and the stay lost.

Who can book

You must be 18 or over. The stay is a short-term holiday let, not a tenancy. It is exempt from security of tenure under the Rent Acts. No one who is not a party to this contract can enforce it under the Contracts (Rights of Third Parties) Act 1999.

How a booking is made

Choose your dates, send the booking, then pay. Monzo is preferred for totals up to £500; larger stays are paid by card. The nights are only held once payment is seen. We can keep an enquiry open for two days while you decide — after that the dates go back in the diary.

Cancellation by you

Please cancel in writing (email is fine). More than six weeks before arrival: 25% of the holiday cost is kept. Four to six weeks: 50% of the total. Less than four weeks, or if you do not arrive: the full amount. We strongly recommend comprehensive travel insurance. Without it, you accept any loss if you have to cancel.

If we have to cancel

We will only cancel in exceptional circumstances beyond our control — for example fire or flood that makes the cottage unusable. We will tell you as soon as we can and refund all payments for the stay in full. That is the end of our liability; there is no further claim. Holiday insurance is still wise.

Flooded road

If you cannot leave because the road is flooded (it is rare), we will extend the stay at no extra cost until the road is passable. Once it is, we ask you to check out. Any nights after that are charged as usual.

Arrival and departure

Arrive after 3pm. Depart by 10am, unless we have agreed otherwise. Check-in is contactless: the lock-box code is emailed the night before your stay. Save that email — mobile signal can be sparse. If you cannot keep the booking, please tell us as soon as you can.

Dogs

Well-behaved dogs are welcome if agreed when you book: up to two smaller dogs, or one large dog, for £10. They must not be left alone in the cottage. Use the throws if they go on the furniture, and clean up after them.

Parking

Parking is on site, in a shared car park, at the vehicle owner’s risk. We do not accept responsibility for loss or damage to cars or their contents.

Smoking and vaping

The cottages are strictly no smoking and no vaping inside. Smoking outside is fine if you stand a little away from the door so the smell does not drift in. Breaking this can mean being asked to leave at once, extra cleaning charged to you, and no refund of the stay.

Care of the cottage

Please look after the cottage and leave it clean and tidy (linen and towels are ours to wash). You and your party are jointly responsible for damage, breakages and any extra cleaning. Ordinary wear and tear is not charged. Tell us about anything missing or damaged as soon as you notice it, and before you leave — especially anything that happened during your stay. Lost or unreturned keys are £20.

Safety and use

Lock up when you go out. No candles or other fire risks. Take care not to flood the cottage. Behave considerately; quiet from 10pm. Do not exceed the number of guests stated for the cottage, and do not sub-let or share with anyone not named on the booking. We may end the hire without notice or refund if that is broken. We may need reasonable access for urgent maintenance; we will respect your privacy and agree a time where we can.

Children and neighbours

Parents are responsible for their children’s wellbeing and supervision, including checking the cottage and garden for hazards on arrival. Learn the way out in an emergency. Anti-social behaviour is not tolerated; we can ask you to leave. The full cost of the stay remains due and there is no refund.

What is included

Bed linen, pillows, duvets and two towels per person (a bath sheet and a hand towel). Tea towels and oven gloves. Electricity and heating. Starter tea, coffee, milk, salt, pepper, oil, foil, kitchen towel, toilet rolls, toiletries and a cleaning kit. Cot linen is not provided. On longer stays, please replace the starter supplies once they are used.

Allergies and belongings

Tell us about allergies or intolerances before you arrive. If you leave something behind we will let you know; we can post it back at your cost.

Complaints

If something is wrong, tell us during the stay so we can put it right. Complaints raised only after you have gone home may not be considered.

Information and liability

Details on this website and in our messages are given in good faith. We are not liable for loss arising from them. The Owner is not liable to you or anyone else for death, personal injury (except where the law does not allow that limit), accident, cancellation, damage to or loss of personal property, expense or inconvenience arising from the stay.
